The Coordinator, Health & Safety provides administrative and coordination support for the North America Health, Safety and Environmental management system and assists with incident data reporting, HSE program administration, communications, training records, inspections, and general department support. The role also monitors and maintains client prequalification and third-party contractor compliance platforms for multiple business lines in the United States and Canada, helping ensure company, regulatory, insurance, training, and client-specific requirements are completed accurately and on time.
 
• Collects incident data from the Crystal database and generates a detailed monthly statistics report (by location, line of business, by country in NAM and specific operating groups) in Excel. Prepares additional statistical charts and graphs as required by management and the business lines.
• Supplies information and documentation to SGS branches, Clients, and Pre-Qualification websites, pertaining to leading and lagging injury statistics, HSE Management System programs, training presentations, policies & procedures, clearance certificates, premium rates, and insurance certificates.
• Acts as regional CSA (Crystal System Administrator) for the Crystal OI reporting system. Includes ensuring user access, location currency and handling user support requests.
• Designs and validates reports within the Crystal system for the production of OI KPI’ in NAM, regional and local level.
• Maintains a current listing of NAM branches and contacts.
• Assists in delivery and monitoring of HSE Programs across NAM (e.g. Safety Recognition Award, Eyewear/Footwear, Medical Surveillance, and Training).
• Assists in preparation and formatting of HSE presentations, newsletters and general communications.
• Provide day-to-day administrative support for the US OI Business Partners to include filing documents & training records, paying invoices, preparing expense reports and meeting and training session arrangements,
• Attends necessary training sessions to maintain an understanding of the OSHA & MSHA and other health and safety training as required by SGS.
• Assists with preparation and organizes documents for EPA, OSHA and/or MSHA Inspections.
• Provides mutual back-up support to members of US OI Department.
• Monitors U.S. third-party compliance platforms and Canada’s ISN account for urgent items, including information requests, training requirements, compliance gaps, document requests, data needs, and new client connections.
• Reviews incoming emails and platform notifications, identifies matters requiring immediate attention, responds to routine requests, routes platform documents to the appropriate business-line contact, and follows up to obtain missing information.
• Collects, validates, and submits monthly client site-specific data for U.S. operations, including employee counts, hours worked, incidents, near misses, vehicle accidents, and vehicle mileage.
• Coordinates quarterly platform-related H&S KPI requests with U.S. H&S Business Partners and the designated Canadian H&S contact, investigates discrepancies, and confirms data before submission.
• Works with internal insurance contacts and the insurance broker to obtain, assign, and submit annual certificates of insurance for U.S. platforms, applicable business lines, and Canada’s consolidated ISN account.
• Assists business lines with establishing, validating, and maintaining client connections in U.S. and Canadian platform accounts, including determining correct account ownership when work crosses borders or multiple business lines are involved.
• Adds employees to U.S. or Canadian platform accounts, connects employees to client-required training, updates platform training requirements, submits employee rosters, and coordinates related Quick Talk topics and rosters with business-line managers and H&S Business Partners.
• Updates applicable safety documents in U.S. ISN accounts, uses approved U.S. safety procedures to answer platform questions, and requests regulatory, citation, and corrective-action information from H&S Business Partners when required.
• Assists business lines with platform-requested audits and supporting documentation, includes the responsible H&S Business Partner when audit activities require employee participation or review of findings, and works with platform representatives, clients, consultants, business lines, and H&S teams to resolve compliance issues.
Education and Experience
• High School/GED required
• 0-3 years of experience in an administrative role required

Compensation
The expected salary range for this position is $22.00 - $26.00 hourly . This range represents the minimum and maximum base salary we reasonably expect to pay for this role. Actual compensation within the range will depend on skills, experience, and qualifications.
